JOB SUMMARY 崗位描述
Manage/Supervise all conferences, meetings and incentives, secure return business, ensuring maximum profitability and client satisfaction. Assist Director of Events to ensure departmental productivities and people development. The position ensures the highest level of service during events by executing all activities based on Standard Operating Procedures and strives to achieve and continuously improve guest satisfaction.

JOB RESPONSIBILITIES 工作職責(zé)
1. Operations 執(zhí)行
? Liaise with Sales Department at point of initial negotiations with clients to assist Sales Department in providing profitable and efficient proposals

? Review and evaluate all events bookings to ensure the most efficient use of public space, favorable contractual terms & conditions

? Foresight ability to direct Events Sales efforts according to market demand and want

? Managed all events in the most creative manner towards creating a WOW effects
以創(chuàng)意效果為宗旨,以最有創(chuàng)意的姿態(tài)管理所有的宴會(huì)
? Should be a point person for inter-departmental cooperation and communication in the absent of Director of Events
在宴會(huì)銷售總監(jiān)不在期間,須作為部門內(nèi)部起到主要協(xié)作和溝通的關(guān)鍵人物
? Ensures effective communication with clients and internal departments
確保在客戶和部門各內(nèi)部之間的有效溝通
? Ensures that each catering/meeting business is properly endorsed and assigned to a particular executive or coordinator he/she fits to handle the business
確保各類餐飲/會(huì)議得到合適的簽署,并交由適合的具體執(zhí)行人/協(xié)調(diào)人去執(zhí)行
? Liaises with clients on finalizing details and give professional advice on set up and planning of events.
聯(lián)絡(luò)客戶達(dá)成宴會(huì)的具體細(xì)節(jié),給予專業(yè)的建議,提出宴會(huì)的計(jì)劃部署
? Responsible for dissemination of groups related information to other departments i.e. issue banquet event order, group resume, and chair pre con meeting
需要其他部門的協(xié)作時(shí),負(fù)責(zé)將本部門人力分工與其他部門協(xié)作,如發(fā)布宴會(huì)信息訂單,團(tuán)隊(duì)信息,會(huì)議所需凳椅
? Maintains close co-ordination with respective departments on organizers’ requirements and last minute event requirements
與相關(guān)部門在組織者的需求和會(huì)議緊要需求上保持緊密協(xié)作
? Be visible to organizers and clients during their event group dates and monitors guest satisfaction
在組織者和客人的宴會(huì)/團(tuán)隊(duì)期間,保持在場(chǎng),并監(jiān)督客戶滿意度
? Oversees the banquet operation and work closely with various departments to ensure quality service is delivered to our clients at all times

? Regularly reviews Master Account postings to ensure postings are correctly done. Reviews bills with organizer regularly so as to eliminate adjustments needed on final invoice.
定期與組織者過(guò)賬以確保賬目的正確。與組織者審查賬單情況以避免在最終開(kāi)具發(fā)票時(shí)的調(diào)整
? Maintains close communication with concerned Sales Manager during the process.

? Contact site inspections for potential clients

? Chairs the pre-event meeting and post-event meeting as required in the absent of Director of Events

? Work closely with F & B associates to ensure all aspects of the event have been cost effective and serviced both clients and hotel needs
與餐飲部同事緊密合作,確保宴會(huì)所有相關(guān)開(kāi)銷有效利用,同時(shí)照顧到客戶方和酒店的利益
? Reviews all Group Resume as well as Banquet Event Order issued by Events Services /Sales Manager/Executive or Events Coordinator
審閱宴會(huì)服務(wù)人員/銷售經(jīng)理/主管人員或宴會(huì)協(xié)調(diào)人所發(fā)出的所有團(tuán)隊(duì)信息及宴會(huì)訂單
? Resolves operational challenges surrounding catering
解決餐飲方面可能遇到的問(wèn)題
? Presides over the BEO meetings done weekly with culinary and banquet services in the absent of Director of Events
在宴會(huì)銷售總監(jiān)不在期間,負(fù)責(zé)主持廚房和宴會(huì)服務(wù)人員的BEO周會(huì)
? Encourage up-selling and ensures all associates do the same
鼓勵(lì)所有同事?tīng)?zhēng)取追加銷售
2. Post Events Follow Up 會(huì)后跟進(jìn)
? Involves concerned Sales Manager during post event meeting and post event follow such as sending thank you letter and post event evaluation form together
讓相關(guān)銷售經(jīng)理在會(huì)后會(huì)上跟進(jìn),比如寄送出感謝信并附會(huì)后評(píng)估表格
? Verifies total charges and invoices prepared by Account Department and send to organizer
核實(shí)結(jié)賬部門所提供的所有費(fèi)用和發(fā)票并交至組織者
? Obtain feedback from clients and follow through with necessary points
獲得客戶回饋,跟進(jìn)取得必要的評(píng)分
? Ensure customers satisfaction before, during and post event to insure retention and growth of business through referrals and repeat event

3. Administrative Activities 行政事務(wù)工作
? Maintain the active Event Profile Database
維護(hù)宴會(huì)資料數(shù)據(jù)庫(kù)的更新
? Prepare weekly, monthly, quarterly and annual reports as required
按要求準(zhǔn)備周、月、季度和年度報(bào)告
? Ensure that all event orders and group resume are made and is distributed in a timely manner
保證所有宴會(huì)訂單和團(tuán)隊(duì)信息都得到及時(shí)的確定和發(fā)布
? Participates in development of the department’s budget and supports the management of the profit and loss statement
參與部門預(yù)算的制定,對(duì)盈虧報(bào)告的管理作出支持
4. Business Development 業(yè)務(wù)發(fā)展
? Prepare monthly outlook / forecast for Events for all necessary reports and submission on the timely manner
對(duì)宴會(huì)銷售情況作月度前瞻/預(yù)測(cè),準(zhǔn)備并及時(shí)提交所有必要的報(bào)告
? Assist in the preparation and management of departmental budgets
協(xié)助部門預(yù)算計(jì)劃和管理
? Comprehends budgets, operating statements and payroll progress reports as needed to assist in the financial management of department
